2. What this policy covers

This policy explains how we handle personal data when you visit our website, contact us, ask for a demo or quote, use our chat assistant, or apply for a job with us.

It does not cover data we process on behalf of our clients while delivering a project, such as records in a client’s Zoho apps or accounting data moved with V2W FinBridge. That data is handled under the agreement with that client, and the client decides how it is used.

3. Information we collect

Information you give us

  • Enquiries and demo requests: your name, email address, phone number, company name and the details you write in your message, when you use our contact form, email us or call us.
  • Chat: the messages you type into the chat assistant on our website.
  • Job applications: your CV and the details you choose to share, such as education, work history and contact details.
  • Client relationships: business contact details of the people we work with at client and partner companies.

Information collected automatically

  • Usage data: pages visited, time on page, the site that referred you, and approximate location based on your IP address.
  • Device data: browser type, operating system, screen size and similar technical details.
  • Server logs: our hosting provider records IP addresses and requests to keep the website secure and working.

We do not ask for sensitive information such as financial account numbers, health information or government ID numbers through this website. Please do not send it to us unless we have specifically asked for it as part of an agreed project.

4. How we use your information

  • To reply to your enquiry and give you the information, demo or quote you asked for.
  • To deliver and support services and products you have agreed to buy from us.
  • To review job applications and contact candidates.
  • To understand how visitors use our website so we can improve it.
  • To keep the website and our systems secure and prevent misuse.
  • To meet legal, tax and regulatory obligations.
  • To send you updates about our services, only if you have agreed to receive them. You can opt out at any time by replying “unsubscribe” or emailing us.

We process your data on the basis of the consent you give when you contact us or submit a form, or for the legitimate uses permitted by law, such as complying with legal obligations. Where you have given consent, you can withdraw it at any time; this does not affect processing that already took place.

5. Cookies and similar technologies

Cookies are small files stored on your device. We use:

  • Essential cookies that the website needs to work and load quickly, including those set by WordPress and our caching system.
  • Analytics cookies from Google Analytics, which tell us how many people visit, which pages they view and how they found us. These reports are aggregated and we do not use them to identify you.
  • Advertising cookies from Google Ads, which help us measure how well our ads work and, with your consent, show our ads to people who have visited our website.
  • Third-party content: the map on our contact page is provided by Google Maps, our fonts are served by Google Fonts, and our chat assistant is provided by Microsoft. These services may set their own cookies or collect your IP address when their content loads.

Your choice: when you first visit, a banner lets you accept or reject analytics and advertising cookies. For visitors in the European Economic Area, the UK and Switzerland, these cookies stay off until you accept. You can change your choice at any time with the Cookie settings link at the bottom of every page.

You can block or delete cookies in your browser settings, and you can opt out of Google Analytics with Google’s browser add-on at tools.google.com/dlpage/gaoptout. Blocking essential cookies may stop parts of the website from working properly.

6. Who we share it with

We do not sell your personal data. We share it only with trusted service providers who help us run our business, and only as much as they need:

  • Zoho, for our CRM, email and the contact form on this website. Our Zoho account is hosted in Zoho’s India data centre.
  • Google, for website analytics, advertising measurement, maps and fonts.
  • Microsoft, for the chat assistant on our website.
  • Hostinger, which hosts this website.
  • Professional advisers such as accountants, auditors and lawyers, under a duty of confidentiality.
  • Authorities, when we are required to by law, court order or to protect our rights, our clients or the public.

If V2W is ever involved in a merger or sale of its business, personal data may be transferred to the new owner, who will be bound by this policy.

7. International transfers

We are based in India and also have an office in the USA. Some of our service providers process data in other countries. When your data is transferred outside India, we use providers that apply recognised security standards and we transfer data only as permitted by Indian law.

8. How long we keep it

We keep personal data only as long as we need it for the purpose it was collected for, or as long as the law requires:

  • Enquiries are kept while we are in discussion with you and for a reasonable period afterwards, in case you come back to us.
  • Client contact details are kept for the length of our working relationship and as required for accounting and tax records.
  • Job applications are kept for the recruitment process. If you agree, we may keep your CV to consider you for future roles.
  • Analytics data is kept according to the retention settings in Google Analytics.

When we no longer need the data, we delete it or make it anonymous.

9. How we protect it

We use reasonable security practices to protect personal data, including HTTPS encryption on this website, access controls so that only authorised staff can see your data, and reputable service providers with their own security certifications. No method of transmission over the internet is completely secure, so we cannot guarantee absolute security, but we work to protect your data and will act promptly if something goes wrong.

10. Your rights

Under the Digital Personal Data Protection Act, 2023, you have the right to:

  • ask for a summary of the personal data we hold about you and how we use it;
  • ask us to correct, complete or update it;
  • ask us to erase it, unless we must keep it by law;
  • withdraw your consent at any time;
  • have your grievances addressed by us; and
  • nominate another person to exercise these rights on your behalf if you are unable to.

If you live outside India, you may have similar rights under your local law. To use any of these rights, email contact@v2wss.com. We may ask you to confirm your identity before we act, and we will respond within a reasonable time.

If you are not satisfied with our response, you can complain to the Data Protection Board of India.

11. Children

Our website and services are meant for businesses and are not directed at children. We do not knowingly collect personal data from anyone under 18. If you believe a child has sent us personal data, please contact us and we will delete it.

13. Changes to this policy

We may update this policy from time to time. The latest version will always be on this page with the date it was last updated. If we make significant changes, we will make that clear on our website.
